Why your business needs a waste transfer note

Your responsibility for waste continues after a collection vehicle leaves your premises. Businesses have a duty of care to take reasonable steps to ensure their waste is managed correctly, including checking that the company receiving it is authorised and that the waste is accurately described.

A waste transfer note supports that duty by documenting the handover. It gives you a record to refer to if a collection is queried or an enforcement officer asks for evidence. The guidance covered here relates primarily to England and Wales; businesses operating elsewhere should check the relevant national requirements.

This applies to everyday commercial activities, from shops disposing of packaging to contractors arranging collections from building sites. Business waste can also come from a home-based business, so having smaller premises does not automatically remove your responsibilities.

What information does it record?

The paperwork needs to describe the waste clearly enough for the next holder to handle it appropriately. Alongside the waste description, it records identifying information about the organisations involved and the circumstances of the transfer.

What customers need to check

AMA provides the paperwork, while your business still has a role in confirming that the information is accurate and signing where required. Check that the business details, collection location and waste description reflect the service you have arranged.

For example, a shop introducing a new waste stream or a contractor starting work at another site should flag that change. Raising it before collection helps ensure the arrangements and records still match the waste being produced.

Regular collections and annual waste transfer notes

An annual waste transfer note may cover repeated collections, also called a season ticket, for up to 12 months. This arrangement depends on the waste holder, carrier and waste type remaining the same. Individual transfers must still be recorded in an accompanying schedule.

Keep ordinary waste transfer notes for at least two years. For a season ticket, retain both the note and its schedule for two years after the final transfer. Paper or electronic records can be retained, provided they are accessible when needed.

Hazardous waste needs different paperwork

Hazardous waste movements generally require a consignment note rather than an ordinary waste transfer note. Tell your provider about potentially hazardous materials before booking so they can arrange the appropriate collection and documentation. An existing agreement for general waste should never be assumed to cover these materials.
